Retreat Booking Terms & Conditions

Thank you for your interest in joining our retreat. Please read the following terms carefully, as they outline the conditions of booking, payment, travel, cancellations, responsibilities, and liability. By registering, you acknowledge and agree to the following:

1. Registration & Acceptance

  • Completing the registration form does not guarantee a space.

  • Your booking is only confirmed once your registration has been reviewed and accepted, and your deposit has been received.

  • Once accepted, you will be contacted via email with payment options to reserve your spot.

2. Payment & Deposit Policy

  • A non-refundable deposit is required to secure your place.

  • The remaining balance is due one month prior to the retreat.

  • If your balance is not paid in full by the deadline, your reservation may be canceled, and your deposit forfeited.

  • Payment plans may be available upon request.

3. Minimum Participant Requirement

  • This retreat requires a minimum number of participants to move forward.

  • In the event the minimum is not met, we reserve the right to cancel or reschedule.

  • If the retreat is canceled due to insufficient enrollment, all payments made will be refunded in full.

4. Travel & Airfare Disclaimer

  • Do not book your airfare or make other non-refundable travel arrangements until you have been notified by email that the retreat is confirmed.

  • We are not responsible for costs associated with premature travel bookings.

  • Travel arrangements, including flights, visas, and transportation, are the responsibility of the participant.

5. Cancellations & Refunds

Participant cancellation:

  • Please be sure you want to attend. While life happens, we cannot refund or transfer any deposits or payments for our retreats.

  • There will be no refunds or discounts for arriving late, leaving early, flight cancellations, travel delays, or illness.

  • In order to protect yourself, please purchase travel insurance prior to your trip.

Retreat cancellation:

  • We may cancel a trip at any time prior to departure due to natural disasters, terrorism, political instability, or other external events that make it no longer viable to operate the retreat.

  • If your trip is canceled, we will notify you immediately and provide instructions for next steps.

  • In cases where cancellation is due to external events outside our control, refunds will be less any unrecoverable costs.

  • We are not responsible for incidental expenses incurred as a result of your booking (e.g., visas, vaccinations, travel insurance, or non-refundable flights).

6. Transfers & Substitutions

  • If you are unable to attend, you may transfer your reservation to another person with prior written approval.

7. Health, Insurance & Responsibilities

  • Participants are responsible for ensuring they are physically and mentally fit to attend.

  • You must disclose any medical conditions, allergies, or mobility issues in your registration form.

  • You are strongly encouraged to obtain travel insurance that covers medical care, retreat participation, trip interruption, and cancellations.

  • Beachbum Wisdom assumes no responsibility for accidents, injuries, or illnesses sustained during the retreat or while traveling to/from the retreat location.

8. Assumption of Risk & Release of Liability

  • Beachbum Wisdom does not own or operate any entity which provides, or is to provide, goods or services for your trip, including, for example: lodging facilities, transportation companies, food service providers, equipment suppliers, babysitters or daycare providers. All such persons and entities are independent contractors.

  • Beachbum Wisdom is not responsible for the acts or failures to act, whether negligent, willful, or otherwise, of its suppliers, subcontractors, or of any other third party over whom Beachbum Wisdom has no control.

  • Beachbum Wisdom is not liable for bodily injury, illness, accident, property damage, or personal loss as a result of, but not limited to:

    • Physical exertion for which the participant is unprepared

    • Natural forces such as weather, animals, or disasters

    • Heat exhaustion, dehydration, or environmental conditions

    • Accidents or equipment failures

    • Civil unrest, government actions, or other circumstances beyond Beachbum Wisdom’s control

    • The availability, quality, or limitations of medical services in the destination

Medical Services & Insurance

  • Medical services may not be readily available or accessible during the retreat.

  • Beachbum Wisdom does not provide medical advice, evacuation, or insurance.

  • Travel, medical, and cancellation insurance are the sole responsibility of the participant.

Participant Responsibility

  • You are responsible for selecting a trip appropriate to your abilities and interests.

  • You are responsible for being in sufficiently good health to undertake the trip.

  • You are responsible for preparing for the retreat by reviewing itinerary and pre-departure materials.

  • You are responsible for bringing the appropriate clothing, equipment, and supplies as advised.

  • You are responsible for informing Beachbum Wisdom of any relevant medical conditions before travel.

Release
By booking this retreat, you acknowledge that participation involves inherent risks and uncertainties. You voluntarily assume full responsibility for all risks associated with participation and hereby release, discharge, and hold harmless Beachbum Wisdom, its owners, employees, contractors, and representatives from any and all liability, claims, demands, or causes of action arising out of or related to your participation.

9. Code of Conduct

  • Respect for the retreat property, staff, and fellow participants is expected at all times.

  • Disruptive, unsafe, or inappropriate behavior may result in removal from the retreat without refund.

10. Communications & Documentation

  • All official communications regarding acceptance, payments, and retreat confirmation will be sent via email.

  • It is your responsibility to check your email regularly and provide correct contact information.

  • A valid passport (with at least 6 months’ validity from your date of return) is required for international retreats.

11. Photography & Media Release

  • Photos or video may be taken during the retreat for marketing and community purposes.

  • By attending, you grant us permission to use your image unless you request otherwise in writing.

12. Final Acknowledgment

By registering for this retreat, you confirm that you:

  • Have read and understood these Booking Terms & Conditions.

  • Accept responsibility for your own travel, health, and participation.

  • Agree to the payment, cancellation, assumption of risk, and refund policies outlined above.
